The Community Association Manager and Assistant Manager assigned to your community will both be licensed Community Association Managers (CAMs). One member of the Greenacre accounting team will prepare your association's monthly financials while another performs our association's accounts receivable accounts and payable functions. Our team members return all calls within 24 hours and will respond quickly to your concerns.
Paper and electronic records are stored in separate climate-controlled sections of our headquarters built to withstand 170 mph winds. This means a command center can be immediately put into place following a catastrophic event. Nightly back ups are sent to two offsite locations, one of which is out of state. We use best practices to back up and protect your association records.
Greenacre will provide your association with customized accounting reports from a proprietary system designed for association management, instant access to accounts receivable and accounts payable information from any Internet-connected computer. Our Community Association Managers use a Smartphone app to document violations while in the field. Letters with color, date stamped photos are printed and mailed the same day. All violation and work order information is immediately available for board members to review online in real time.
Some other association management companies want the authority to sign checks on behalf of your association because it makes paying bills easier and quicker for them. We do not sign checks for your association. We scan invoices and back up documentation into the system for board members to review and approve. Once approved, checks are printed locally. Check production can be accomplished a matter of minutes. We believe that your association should maintain complete control over its funds.
If desired, Greenacre can provide a dedicated, secure, password-protected web portal for your community. Many of our communities use the portal to make documents and forms available to homeowners, to share information about current and past maintenance fees, and to give homeowners notice of upcoming meetings. The board will have its own dedicated portion of the site with the ability to review reports not available to all members of the association on the website.
